When the account was froze, we couldn't get anymore repairs

I manage a 300-unit apartment complex.

  • We stopped almost all of our services out to companies in town.

All of the housekeeping on the units is performed by a maid service. The painting is performed by a painting shop in the city. The only thing that is actually handled by our own maintenance staff is basic repairs. None of my guys are certified in HVAC work, so we have to contact an AC expert every time there is a problem with a machine on the complex. During the summer months, we contact the AC repair shop frequently. Last week the AC repair shop was here every single day. They must have fixed seven or eight different AC units. I received a bill from the company and I sent it to the corporate office. The next day I received a phone call from the AC repair company. They froze our account until payment could be made. Apparently the total for our account was almost $17,000 and a payment had not been made in quite some time. I was furious when I found out that they were going to cut off our services. I immediately contacted my boss who is the district manager for all eight of the local properties. I told her that the heating and AC company called and froze our account due to non-payment. She felt there must be a mistake somewhere, because there was no reason for the bills not to have been paid by the company. She promised to get to the bottom of the problem as quickly as possible. She called me back a couple of hours later to let me know that everything was okay.
